Privacy and Personal Information Protection Policy in the Private Sector (LPRPSP)

1- Objective

Groupe Édifio and its residences are committed to protect the privacy of its residents, customers, and employees. Loi sur la protection des renseignements personnels dans le secteur privé (P-39.1) :

• Protects personal information against inappropriate use or disclosure.

• Grants individuals the right to obtain information about themselves.

• Grants individuals the right to request corrections or additions to their personal information if they believe it contains inaccuracies.

2- Definition of Personal Information

Personal information refers to any information concerning an individual that allows for their identification (name, address, email). It can be in various forms: written, graphic, visual, electronic, or other.

3- Privacy Protection Statement

Groupe Édifio is committed to protect the privacy of personal information of its residents, customers, as well as members of its board of directors, executive council, staff, and other stakeholders, in accordance with the Loi sur la protection des renseignements personnels dans le secteur privé (LPRPSP).

4- Collection of Personal Information

The personal information we collect from you or from third parties with your consent is necessary for us to provide the services you wish to obtain. If you refuse to provide this information or the required consents, it may be impossible for us to do business with you.

We collect personal information about you that is necessary for the purpose of the record and only use lawful means to do so. This personal information must first be collected from you. Subject to exceptions provided by law, we can only collect personal information about you from third parties with your consent. When this occurs, the source of this information is recorded in the file.

The proposals and forms we use include a section regarding consent to collect, use, and disclose personal information about you in certain circumstances. It is important to review this section before signing.


We always seek your consent before collecting or disclosing any medical information about you. When we create a record about you, we inform you of:

  • The purpose of this record.
  • The use that will be made of the personal information it contains.
  • The categories of people who will have access to the personal information in the record.
  • Where the record will be kept.
  • The right to access the personal information in the record or the right to rectify it.
  • Contact information for the privacy protection officer.

5- What Types of Personal Information Are Collected?

Groupe Édifio may collect information such as emails, addresses, and phone numbers of individuals who register for leisure activities, subscribe to services from an authorized provider (telephony, cable, internet service, etc.), make donations, participate in conferences, training, meetings, or provide any information required for health and/or government services.

6- Where Are They Stored, and Who Has Access?

All contact information from residents, customers, members of the board of directors, executive council, and staff are stored in databases entrusted to designated individuals on the Groupe Édifio team. These databases also contain the personal information that these individuals may have provided. However, they do not contain any financial information, such as credit card numbers. Original order forms (on which a credit card number may have been provided) and photocopies of checks are kept in locked filing cabinets and/or scanned and secured.

7- What Security Measures Are in Place?

Databases are protected by passwords, and only designated individuals on the Groupe Édifio team have access. Computers are also protected by passwords, and the common file system is only accessible online to Groupe personnel. Groupe Édifio does not sell, exchange, or rent any personal information to other organizations or individuals. However, upon request, information may be provided to provincial or federal authorities to comply with a directive, law, and/or regulation.

8- Storage, Destruction, and Anonymization of Personal Information

Personal information is securely destroyed, anonymized, or stored as soon as the purpose for which it was collected is accomplished, subject to the time frame prescribed by law or a schedule established by government regulation (e.g., for tax obligations, certification of private residences for seniors).

9- Data Portability

To be determined based on proposals defined by the Commission d’accès à l’information (CAI) in September 2024.
